Job Description
Key Responsibilities:
General Administration:
1. Design, develop and implement various admin processes and systems related to office and asset management, insurance and travel management, cost management, safety and security, stock inventory management and system compliances and program and project management.
2. Medical / Car Insurance renewals, Tenancy contract renewals, utility payments to be tracked and duly paid. Collaborate with Accounts team on a weekly and / monthly basis for the same
3. Compliances to office administration like drafting rental agreements, property tax, insurances (people and property etc)
4. Outbound calls for vendors and clients.
5. Maintain accurate petty cash balance with supporting expense.
6. Building and maintaining relationships with the managers and vendors.
7. Works closely with finance team on internal office budgets, ensure all projects are duly tagged to appropriate codes and costs allocated accordingly.
8. Keep a tab on all administrative expenses.
9. Efficient productive interactions on mails and telephone.
10. Maintain soft copy of records and files and correspondence.
11. Check on traveling staff (Dubai and Thailand) for their annual leaves or work, sick leaves & absent leaves and process travel requirements for the same (visa, air tickets, etc.)
Restaurant Administration:
1. Responsible for the complete functioning of day-to-day activities. (Internal Coordination with the all the restaurant branches)
2. Responsible for ensuring smooth functionality and regular maintenance of all restaurant equipment.
3. Monitor restaurants’ Stationary, Pantry, housekeeping supplies and IT purchases.
4. Monitor monthly budget and cost for restaurant infrastructure – AMC, restaurant equipment, housekeeping / facilities management
5. Monitor inventory for restaurant
6. Monitoring for ordering from out of the country, breakage / lost items stock monitoring of all the outlets
7. Repair / Maintenance Stock list update, which is used most often in the outlets like bulbs, lights etc. to be procured and to be kept at the warehouse which will reduce petty cash usage of outlets
8. Repair / Maintenance list to be maintained including pest controls, cleaning etc. and servicing of equipment to be processed timely by the restaurant outlets
9. Oversee facility and maintenance services of all restaurants
10. Staff training / briefings (at restaurants) to be monitored and ensure is done in all the outlets on daily basis, Outlets in charge to report if the staff is not groomed while reporting to duty
11. Ensure that daily video of the setup of the outlets to be sent including Kitchen by In-charge of the outlets for both the duty shifts

13. Monitor Vehicle Toll usage, vehicle and rider / driver logs, log-books of vehicles and fuel usage to be monitored (be extra careful of misuse and to control the same)
14. Screen to be installed in the office for CCTV Monitoring for all the outlets
15. Recordings to be stored before deletion from outlets hard discs, all the outlets to report that all the cctv’s are operational in their outlets.
Office Administration:
1. Responsible for overall maintenance of office infrastructure and equipment – Office space, chairs, laptops, desktops, printers, air conditioners etc.
2. Keep track of AMC, rentals, telecommunications and WiFi bills, etc.
3. Ensure housekeeping / facilities services are on track
4. Manage monthly stationary and office supplies stock updates
5. Repair / Maintenance list to be maintained including pest controls, cleaning etc. and servicing of equipment to be processed timely by the offices.
